A client briefing meeting must be conducted to gather all relevant project requirements, including the client’s budget, equipment list, branding assets such as logo and colours, design references, operational needs, and primary contact details.

The Client Brief Checklist must be completed and all project requirements must be properly documented and stored in the project folder.
All applicable design guidelines and regulatory requirements must be obtained from the relevant Council, Shopping Centre Management, or governing authority prior to the commencement of design planning.

All regulatory guidelines and documents must be uploaded and recorded in the project Drive and NotebookLM project workspace.
The project must be coordinated with the Design Manager to assign the appropriate designer and to review the client brief and project scope with the design team.

All project information must be formally handed over to the assigned designer, an Email Correspondence Thread and a NotebookLM project workspace must be created and shared with the relevant team members. A minimum of two preliminary layout options must be developed for the client’s review based on the site conditions and project requirements.

Each layout option must be reviewed for compliance with NCC requirements, Food Premises Guidelines, and applicable Australian Standards before being issued to the client. Layout designer to draft a version that include mark ups to explain the plan and the logic/reason behind the design, can be client requirements or kitchen standards.
A layout presentation package must be prepared and issued to the client, including a cover page, concept mood board, existing or demolition plan, and the proposed floor plan reflecting the recommended layout.

Written approval of the selected layout must be obtained from the client via email, and the approval record must be uploaded to the project NotebookLM workspace.
